1. Information We Collect

The information we collect depends on how you use Circuit Facts.

Account Information

When you create or use a Circuit Facts account, we collect information needed to create, authenticate, and maintain your account, such as your email address and authentication information.

Housing Record Information

When you create and use a Housing Record, we collect the information you choose to enter, upload, or save. Depending on the features you use, this may include:

• rental property information, including property address and unit information;
• lease dates and rental information;
• Move-In and Move-Out condition records;
• photographs and other uploaded evidence;
• repair and maintenance records;
• notices;
• rental charge information;
• communications;
• incident records;
• notes and descriptions;
• documents you upload; and
• other information you choose to include in your Housing Record.

A Housing Record may contain information about other people if you choose to include it.

Rule-Check Information

Where state-specific rule tools are available, Circuit Facts may process information you provide about rental charges, deposits, fees, or other relevant facts to perform the rule-based check you request.

Circuit Facts currently provides certain state-specific rule tools for North Carolina. Availability may vary by jurisdiction.

Rule checks organize and calculate information using configured rules and references. They do not determine legal rights, determine liability, predict the outcome of a dispute, or provide legal advice.

Generated Documents and Exports

When you request a Housing Record summary, condition report, packet, letter, or other export, Circuit Facts processes the information needed to generate that document.

Generated documents may contain personal or sensitive information. If you download or share an exported document, you should consider what information it contains and with whom you choose to share it.

Payment Information

If you purchase a paid Circuit Facts feature or subscription, payment information is processed through a third-party payment service provider.

Circuit Facts may receive transaction-related information needed to administer the purchase, subscription, or account.

Technical and Usage Information

When you use the Services, Circuit Facts and service providers supporting the platform may receive technical and usage information needed to operate, secure, troubleshoot, and improve the Services. This may include browser or device information, timestamps, feature interactions, and diagnostic information.

Circuit Facts distinguishes ordinary product analytics from the substantive contents of Housing Records.

2. How We Use Information

We may use personal information to:

• create, authenticate, and maintain accounts;
• provide and operate Housing Records;
• save and organize information you choose to document;
• provide Move-In and Move-Out documentation features;
• provide repair, notice, communication, incident, evidence, and related record features;
• perform available state-specific rule checks;
• generate documents and exports you request;
• provide Housing Passport™ and paid features;
• process and administer purchases and subscriptions;
• respond to questions and provide support;
• maintain, secure, troubleshoot, and improve the Services;
• investigate and address errors, misuse, fraud, or security incidents;
• maintain appropriate business, transaction, security, and operational records;
• comply with applicable legal obligations; and
• protect the rights, safety, security, and integrity of Circuit Facts, Pearl & Healer LLC, our users, and the Services.

Circuit Facts does not use a renter's Housing Record to determine legal rights, determine who is legally responsible, predict the outcome of a housing dispute, or guarantee an outcome.

3. Analytics and Housing Record Content

Circuit Facts follows the principle:

“Analytics measures interaction, not substantive contents of Housing Records.”

General product analytics are intended to measure how features are used rather than analyze the substance of a renter’s Housing Record.

Substantive Housing Record information should not be included in ordinary product analytics. This includes Housing Record narratives, communications, notices, evidence contents, uploaded documents, and other substantive renter documentation.

4. How We Disclose Information

Circuit Facts uses service providers to help operate and support the Services. Depending on the service provided, those providers may process information on behalf of Circuit Facts for functions such as:

• application hosting and infrastructure;
• database and file storage;
• authentication;
• payment processing;
• communications;
• application operation and monitoring; and
• other technical services needed to provide the Services.

We seek to limit service-provider access to information appropriate for the services they provide.

Information You Choose to Share

Circuit Facts allows you to create records and exports that you may choose to share with other people or organizations.

If you download or otherwise share a Housing Record, packet, condition report, letter, photograph, or other information outside Circuit Facts, the recipient's handling of that information is outside Circuit Facts' control.

Legal, Safety, and Security Reasons

We may disclose information when reasonably necessary to comply with applicable law or legal process, protect the rights or security of Circuit Facts or others, investigate suspected fraud or misuse, address security incidents, or enforce applicable agreements.

We do not promise that Housing Record information can never be disclosed when disclosure is required by applicable law or valid legal process.

5. Data Security

Circuit Facts uses administrative, technical, and organizational practices designed to protect information appropriate to the nature of the Services.

Housing Record access is designed around authenticated accounts and authorization controls. Evidence and documents associated with Housing Records are handled as private application information rather than intended public content.

No online service can guarantee absolute security.

6. Data Retention

Circuit Facts retains information as appropriate to provide and protect the Services, maintain necessary business and transaction records, comply with applicable obligations, resolve disputes, and enforce agreements.

Different categories of information may be retained for different periods.

Deleting information from an active account or interface does not necessarily mean that every copy is immediately removed from backups, security records, transaction records, or other systems where retention may be reasonably necessary or legally required.

Circuit Facts does not promise immediate or simultaneous deletion from every system or backup.

7. Your Choices and Privacy Requests

Depending on where you live and applicable law, you may have rights concerning your personal information. These may include rights to request access, correction, deletion, or information about certain uses or disclosures.

Some rights may be subject to exceptions and identity-verification requirements.

You may also be able to update or delete certain information through available Circuit Facts account features.

Circuit Facts may need to verify your identity before completing certain requests.

We will not discriminate against you for exercising privacy rights provided by applicable law.

8. Account and Record Deletion

Where deletion functionality is available, you may delete certain records or information through Circuit Facts or contact us to request deletion.

Deletion requests are subject to applicable law and legitimate retention requirements. Certain information may need to be retained for purposes such as security, fraud prevention, transaction records, legal obligations, dispute resolution, backups, or enforcement of agreements.

Deleting information from the active service therefore may not result in immediate deletion of every copy from every system.

9. Information About Other People

A Housing Record may contain information relating to landlords, property managers, household members, maintenance personnel, witnesses, or other people.

If you choose to document information about another person, you are responsible for using Circuit Facts appropriately when collecting, uploading, recording, exporting, or sharing that information.

Circuit Facts does not independently verify information a user enters into a Housing Record.

10. Third-Party Websites and Resources

Circuit Facts may provide links to websites or resources operated by third parties, including legal-aid organizations, mediation programs, government resources, or other informational services.

Those third parties operate independently of Circuit Facts. Their own terms and privacy practices apply when you interact with them.

A link from Circuit Facts does not mean Circuit Facts controls the third party’s privacy or security practices.

11. Changes to This Privacy Policy

We may update this Privacy Policy as Circuit Facts and our privacy practices evolve.

When we update the policy, we will revise the “Last Updated” date. Where required by applicable law, we will provide additional notice or obtain consent as appropriate.
